What happens to an enquiry if the contact-form email fails?
By Maetree ·
An enquiry should remain available even if its notification email fails. For Maetree’s own website, we save a valid submitted enquiry privately before confirming receipt, then track email notification and CRM delivery as separate steps.
During our launch preparation, the question was straightforward: if someone takes the time to explain a project, how do we avoid losing that message because another service is temporarily unavailable?
Receipt comes before notification
The form checks the submission and verifies Cloudflare’s anti-bot check on the server. It then saves the enquiry with a reference. The receipt shown to the visitor means that the website saved the message. It does not promise that an email has reached an inbox or that a person has read it.
We also keep the visitor’s enquiry separate from the notification about it. The saved record is the item to follow up; email is one way to alert the team.
Email and CRM can fail independently
An email service and a CRM have different jobs and can be unavailable at different times. Our implementation records their delivery states independently so a problem with one does not erase the original enquiry or undo the other delivery.
Temporary failures can be retried within limits. When the result of an email send is uncertain, it needs review before another send. Repeating a request without checking can create duplicate notifications and confusion.
A stable submission reference also helps the CRM integration recognize a repeated delivery attempt. It should find the same enquiry rather than create a fresh lead each time.
A test needs more than a success message
In our staging checks, we looked for the saved record, the notification result and the CRM entry. A green message in the browser alone cannot prove all three. We also kept test enquiries identifiable so they could be distinguished from real customer messages.
What a visitor can expect
Our current form saves information when the visitor submits it. The visitor receives an on-page receipt; there is no automatic acknowledgement email. The team uses the saved enquiry and delivery status to manage follow-up.
Our privacy policy explains the information involved and the services used. To discuss a project, use the contact page. If a form cannot confirm receipt, email or telephone gives you another way to reach us.
